Nomad Effect – General Terms and Conditions of Sale (Camps & Experiences

These General Terms and Conditions of Sale (“Terms”) apply to all travel packages, experiences, and camps offered by Nomad Effect Sàrl, a Swiss limited liability company registered under IDE number CHE-417.809.012, with its registered office at Rue Daniel-Jeanrichard 28, 2300 La Chaux-de-Fonds, Switzerland (hereinafter “Nomad Effect,” “we,” or “us”).

By completing a pre-registration or payment through our website, you acknowledge that you have read, understood, and accepted these Terms.

1. Purpose

Nomad Effect organizes bespoke travel experiences, retreats, and camps in collaboration with selected partners and service providers (accommodation, transport, local activities, etc.).
Each offering listed on our website constitutes a package trip within the meaning of the Swiss Federal Act on Package Travel (LVF).

2. What’s Included

All details of what is included in each experience are stated directly on the relevant Experience page of our website.
Only the elements described there are part of the package price.
Any other service or request not listed (such as additional activities, visa processing, insurance, or taxes) is not included unless otherwise specified.

3. Pre-Registration and Confirmation

When you complete a pre-registration, no payment is required.
Each camp requires a minimum of 5 participants to be confirmed.
Once that number is reached, the camp status changes to “Live.”
- You’ll receive an email confirming that the camp is officially going ahead.
- Nomad Effect will then send an invoice according to the payment conditions below.
If the minimum number of participants is not reached 60 days before departure, the camp may be cancelled. You will be notified, and your pre-registration will be cancelled automatically.

If a camp is already shown as “Live” when you register, it means it is already confirmed.

4. Payment Terms

Once the camp goes Live, payment becomes due according to the following schedule:

If the camp goes Live 90 days or more before the start date:
A €200 deposit is required to secure your spot.
If the camp goes Live less than 90 days before the start date:
The full amount is due immediately.
In all cases, once Live, a €200 deposit must be paid to confirm registration.
The remaining balance must be paid no later than 60 days before the camp start date.

Invoices are issued by Nomad Effect Sàrl and payable by bank transfer to the account indicated on the invoice.

Failure to pay within the stated deadlines may result in cancellation of your booking and the application of the administrative fee below.

5. Administrative Fee

All cancellations or modifications by the Traveller are subject to a fixed administration fee of €100, covering planning and booking costs already incurred.

6. Price Adjustments

Nomad Effect reserves the right to adjust prices in the event of:

significant increases in transport or fuel costs,
newly introduced or increased official taxes,
exchange-rate fluctuations, or
changes in VAT or official measures.

Any increase will be communicated to you as soon as possible. If the total increase exceeds 10%, you may cancel your participation within 5 days of notice and obtain a refund.

7. Traveller’s Responsibilities

The Traveller must:

provide accurate and complete personal information,
hold valid travel documents (passport, visa, vaccinations, etc.),
comply with payment deadlines,
verify all travel documents provided by Nomad Effect and report any discrepancies immediately,
respect local laws, customs, and Nomad Effect’s instructions throughout the experience.

Any extra costs caused by missing information or personal circumstances not disclosed at the time of booking (e.g., allergies, medical needs) are borne by the Traveller.

8. Nomad Effect’s Responsibilities

Nomad Effect ensures that all services described in the Experience are provided as planned.
However, we may make reasonable changes to the itinerary or services if required by safety, weather, or operational conditions.
In such cases, we will always aim to provide an equivalent or higher-quality alternative.

Nomad Effect’s total liability is limited to twice the total trip price, except in cases of personal injury or gross negligence.

9. Cancellation Policy

9.1. Cancellation by Nomad Effect

If Nomad Effect cancels the camp (except in cases of force majeure or traveller fault), you will receive a full refund of all payments made.

9.2. Cancellation by the Traveller

If the Traveller cancels after confirmation (i.e., after paying the deposit or full amount):

More than 90 days before departure:
Full refund minus €100 administration fee.
Between 90 and 60 days before departure:
The €200 deposit (or equivalent value) is retained.
Less than 60 days before departure:
80% of the total trip cost is retained, plus €100 administration fee.

If the Traveller finds a replacement participant who meets all eligibility requirements and is accepted by Nomad Effect, no cancellation fees will apply, provided that the replacement is confirmed at least 30 days before departure.

Any difference in pricing or logistics resulting from the substitution will be at the Traveller’s expense.

10. Modifications

If you wish to modify your booking after confirmation, we will do our best to accommodate your request.
Each modification may be subject to additional costs depending on supplier terms and availability.

Nomad Effect may also make itinerary changes if necessary for safety or operational reasons. You will be informed promptly, and an equivalent alternative will be proposed.

11. Insurance

Travel insurance is not included in our packages.
We strongly recommend obtaining appropriate insurance covering:

trip cancellation,
medical and hospital expenses,
repatriation, delays, or lost luggage.

Without such insurance, all related risks and costs are the Traveller’s responsibility.

Nomad Effect processes your personal data in accordance with Swiss and European data protection laws.

13. Applicable Law and Jurisdiction

These Terms and any related dispute are governed exclusively by Swiss law.
Unless mandatory law provides otherwise, any dispute shall be submitted to the ordinary courts of the Canton of Neuchâtel, Switzerland.
